CSI-360: Research Controlled Substance Inventory

CSI-360 secures the cabinet, weighs each dispense, and saves the record automatically. Techs log the animal and study as part of the transaction, and on-demand reports support DEA inspection readiness.

Less Manual Work

A Clear Record Without a Paper Log

Handwritten logs are messy and take time. CSI-360 automatically logs users, weights, and volumes used during the normal workflow.

  • Know who and what — a personal sign-in identifies the user, and an RFID label identifies the container.
  • Measure what was used — the scale compares the container before and after use.
  • Log the animal and study — record the animal, study, and notes as part of the transaction, and they follow into the audit trail and reports.
  • Stay inspection-ready — run inventory, activity, and user-access reports on demand.
The System

Four Parts, One Workflow

The lock, reader, scale, and software work together at the cabinet.

  • Electronic Lock

A secondary lock provides an added layer of security. It installs on most DEA-compliant cabinets, safes, refrigerators, and freezers, or purchase one of our ready to install cabinets

  • Digital Scale

The scale measures the container before and after use. The CSI-360 uses the before and after weight to automatically calculate the amount taken - even hub loss and syringe tolerance.

  • Kiosk & RFID Reader

    A touch-screen kiosk with a built-in RFID reader and custom CSI-360 software.

  • CSI-360 Software

The software ties every transaction to an animal, study, and the user then keeps the books current — live inventory, audit support, and email alerts for openings, low stock, and expirations.

How It Works

Four Simple Steps

Each transaction follows the same simple process

  1. Log into the Cabinet

CSI-360 uses two-part authentication to control the electronic lock. Each cabinet entry is timestamped and logged to the user(s) performing the transaction.

  2. Scan the RFID Label

Each drug vial or tracked item has its own RFID label. Scanning it identifies the item being checked out or returned.

  3. Record the Amount Used

The user weighs the vial or manually enters the amount used. CSI-360 records the in-and-out quantity, amount remaining, and which patient received the dose.

  4. Close the Cabinet

Close the cabinet and all of the transaction data is automatically saved. This takes a typical tech about ~20 seconds.

Networked Cabinets

Connect Cabinets Together

Multiple cabinets can share a single database. Inventory, animal records, credentials, and transaction history stay visible at each cabinet.

  • One Set of Credentials

A tech's badge and PIN work at every cabinet they're authorized for, and permissions are set once per user instead of re-entered cabinet by cabinet.

  • One Inventory Record

Every cabinet writes to the same inventory database, so on-hand counts, running balances, inventory transfers, and dispense history live in one record instead of per-cabinet spreadsheets.

  • One Dashboard and Report Set

The dashboard covers the whole site, and one pull gets you inventory, activity, user-access, and per-animal reports across every cabinet at your facility.

Reporting

How CSI-360 Makes Auditing Easier

The CSI-360 offers a variety of reports covering inventory, usage, cabinet access, user access, and more. It also offers customizable reports with over 80 fields per transaction for complete coverage of every dose in your system.

  • Per-animal dose history — the Animal Report lists every dose tied to one animal over any date range.
  • Disposal audit trail — the Disposition Report covers everything disposed within a chosen range.
  • Expiration triage — cabinet inventory grouped by OK, About to Expire, and Expired.
  • Custom reports and presets — pick the filters and fields for inventory or usage reports, then save the setup as a preset to run again later.

Common Questions

  • Can we use our existing DEA-compliant cabinet or safe?

Usually. CSI-360 works with most DEA-compliant cabinets, safes, refrigerators, and freezers. Let us know what you are trying to mount to and we'll work with you to come up with the best solution.

  • How does CSI-360 measure the amount used?

Techs scan and weigh the container before use, then weigh it again afterward. For liquids, CSI-360 uses the drug's density to turn the weight difference into a volume.

  • Why weigh the dose instead of reading the syringe?

A partial draw read from syringe markings loses accuracy as the dose gets smaller — and preclinical doses scaled to body weight are usually small draws. Weighing the container before and after the transaction records what actually left the bottle not just a theoretical amount.

  • How does the two-factor sign-in work?

A tech presents an RFID badge then enters a PIN.

  • Can we require two people to open the cabinet?

Yes. Multi User Authentication can require two approved users to sign in before the cabinet opens. Both sign-ins are saved in the audit trail.

  • Can the CSI-360 track pills or powders?

Yes. CSI-360 supports weight-tracked and count options for solids such as pills or powders, and includes a built-in pill counter.

  • How does multi-cabinet networking work?

CSI-360 can run as a single cabinet or be networked with other CSI-360 units at your facility, so users, inventory, animal records, and activity are managed in one system across every cabinet.

  • Does the CSI-360 replace the rest of our DEA paperwork?

No. CSI-360 automates the dispensing record: who dispensed, what, how much, and when. Your facility still files receipt records (DEA Form 222 or CSOS), witnesses and documents waste, and conducts the biennial physical inventory required under 21 CFR 1304. The cabinet's running balance gives you the number to check that count against.

  • Is the CSI-360 itself "DEA compliant"?

DEA compliance is your facility's responsibility. No cabinet or software can make you compliant by itself. When used correctly, CSI-360 makes that work far easier, with complete, accurate records on every dispense and reports you can pull in seconds.

  • Does it track more than controlled drugs?

Yes. The same labels, access controls, and records can be used for reagents, surgical implants, and other valuable supplies that need controlled access, in addition to Schedule II–V substances.

  • What does CSI-360 cost?

The price depends on your storage, the number of cabinets, and the support you choose. Request a quote and we will build the right setup for your facility.

  • Can we use our existing user badges with the CSI-360?

No, the CSI-360 uses a specific type of RFID label for added security and quality.
