Controlled Substance Inventory

CSI-360: Veterinary Controlled Substance Inventory

CSI-360 secures the cabinet, weighs each dispense, and saves the record automatically. Staff select patients from Shepherd, Vetspire, Digitail, and more, while on-demand reports support DEA inspection readiness.

  • Weighed Dispenses
  • PIMS Integration
  • DEA Audit-Ready

Less Manual Work

A Clear Record Without a Paper Log

Handwritten logs and retyping patient details take time. CSI-360 captures the record during the normal cabinet workflow.

  • Skip double entry — choose a patient read in from Shepherd, Vetspire, Digitail, and more.
  • Know who and what — a personal sign-in identifies the user, and an RFID label identifies the container.
  • Measure what was used — the scale compares the container before and after use.
  • Stay inspection-ready — run inventory, activity, and user-access reports on demand.
Benefits

What CSI-360 Does for Your Practice

Cut manual work, connect patients, and keep the record ready before the DEA asks for it.

  • Secure Access A personal card, fob, or wristband and a PIN help keep access limited to approved staff.
  • Measured Amounts The system uses the change in weight and the drug's density to calculate how much was removed.
  • Clear Audit Trail Each saved transaction shows the user, item, amount, notes, and time.
  • DEA-Ready Reports Run inventory, activity, and user-access reports on demand for an inspection.
  • PIMS Integration Read patients from Shepherd, Vetspire, Digitail, and more instead of retyping the case.
  • Low-Stock Alerts Set a minimum amount and get a warning before an item runs out.
  • Existing Storage Add CSI-360 to most DEA-compliant cabinets, safes, refrigerators, and freezers, or order new storage.
  • Multiple Cabinets Network more than one cabinet so shared records stay in one system.
  • More Than Drugs Track surgical implants and other valuable supplies that need controlled access.
  • Assembled in the USA The CSI-360 system is assembled in the United States.
The System

Four Parts, One Simple Workflow

The lock, reader, scale, and software work together at the cabinet.

  • Electronic Lock

The secondary lock stays closed until an approved user completes the two-step sign-in.

  • RFID Reader

Staff scan their card, fob, or wristband and the RFID label on each tracked container.

  • Digital Scale

The scale measures the container before and after use. Staff can enter an amount when an item cannot be weighed.

  • Software and PIMS

The included computer reads patients from your PIMS, stores each dispense, tracks inventory, sends alerts, and creates reports.

Scan, and Weigh the Item to Check It In

How It Works

Four Simple Steps

Each transaction follows the same simple process

  1. Log into the Cabinet

CSI-360 uses two-part authentication to control the electronic lock. Each cabinet entry is timestamped and logged to the user(s) performing the transaction.

  2. Scan the RFID Label

Each drug vial or tracked item has its own RFID label. Scanning it identifies the item being checked out or returned.

  3. Record the Amount Used

The user weighs the vial or manually enters the amount used. CSI-360 records the in-and-out quantity, amount remaining, and which patient received the dose.

  4. Close the Cabinet

Close the cabinet and all of the transaction data is automatically saved. This takes a typical tech about ~20 seconds.

DEA Readiness

Keep Reports Ready for an Inspection

Run inventory, activity, and user-access reports on demand instead of rebuilding the record from paper.

  • Inventory Reports

See what is on hand and review the amount used over time.

  • Activity Audit Trail

Review cabinet openings, weighed dispenses, and notes when you need to investigate a shortage or possible misuse.

  • User-Access Reports

See which staff members entered the cabinet and what they recorded.

Reporting

How CSI-360 Makes Auditing Easier

The CSI-360 offers a variety of reports covering inventory, usage, cabinet access, user access, and more. It also offers customizable reports with over 80 fields per transaction for complete coverage of every dose in your system.

  • Per-animal dose history — the Animal Report lists every dose tied to one animal over any date range.
  • Disposal audit trail — the Disposition Report covers everything disposed within a chosen range.
  • Expiration triage — cabinet inventory grouped by OK, About to Expire, and Expired.
  • Custom reports and presets — pick the filters and fields for inventory or usage reports, then save the setup as a preset to run again later.

Common Questions

  • Can we use our current DEA-compliant cabinet or safe?

Usually. CSI-360 works with most DEA-compliant cabinets, safes, refrigerators, and freezers. Tell us the make and model, and we will confirm the fit before quoting the system.

  • How does CSI-360 measure the amount used?

Staff scan and weigh the container before use, then weigh it again afterward. For liquids, CSI-360 uses the drug's density to turn the weight difference into a volume. If an item cannot be weighed, staff can enter the amount manually.

  • Can two people be required to open the cabinet?

Yes. Multi User Authentication can require two approved users to sign in before the cabinet opens. Both sign-ins are saved in the audit trail.

  • Can the CSI-360 track pills or powders?

Yes, the CSI-360 supports multiple options for solids such as pills or powders including weight tracked and basic count options. The CSI-360 even has a built in Pill Counter!

  • How does CSI-360 support DEA compliance?

CSI-360 keeps the cabinet-side record current: who entered, what was removed, how much was used, and when. Inventory, activity, and user-access reports are ready on demand. Your practice still handles receipt records, witnessed waste, the biennial inventory, and any other required procedures.

  • Is the CSI-360 itself DEA compliant?

DEA compliance is your clinic's responsibility. No cabinet or software can make you compliant by itself. When used correctly, the CSI-360 makes it feel effortless with complete, accurate records on every dose, and reports you can pull in seconds.

  • Which PIMS does it integrate with?

CSI-360 reads patient records from Shepherd, Vetspire, Digitail, and more, so staff select the patient directly at the cabinet. If you use another PIMS, please reach out for more information on compatibility.

  • Can it track items besides controlled drugs?

Yes. The same labels, access controls, and records can be used for surgical implants and other valuable supplies.

  • Can several cabinets work together?

Yes. Multiple CSI-360 cabinets can be connected so users, inventory, and activity are managed in one system.

  • What does CSI-360 cost?

The price depends on your storage, the number of cabinets, and the support you choose. Request a quote and we will build the right setup for your practice.

  • Can we buy through our distributor?

Yes. CSI-360 is available through Patterson Veterinary, Covetrus or Midwest Vet in the US. You can also buy directly from UID.
